On the day, hybrid production means running two audiences off one program, without either one feeling like an afterthought. In the room, cameras capture speakers, slides and audience shots, and a production team switches between these feeds like a broadcast — so remote delegates see a properly produced program, not a static shot of a lectern.

Remote and international speakers get a dedicated feed alongside the in-room signal, integrated cleanly into the same production. A run sheet ties timings, changeovers and Q&A windows together across the production team, the chairs and the studio, so everyone works from the same schedule — coordinated by TPHE as part of the conference, not handed off to a separate AV supplier.

How do you manage remote faculty and international speakers?

Remote and international faculty need more preparation than in-room speakers, mostly because there's no chance to sort out a problem by walking over and having a word before their session.

TPHE runs technical checks with remote speakers ahead of time — testing their connection, camera, audio and screen-share setup in the environment they'll actually present from. This also covers time zones, since international faculty are often presenting well outside their normal working hours, and rehearsal slots need to work around that.

A rehearsal or run-through before the conference lets the speaker see how their session will look and sound to the audience, and gives the production team a chance to catch any issues — lighting, background noise, connection stability — while there's still time to fix them.
